Allin Book Privacy Policy

This Privacy Policy explains how Allin Book collects, uses, shares, and protects your information when you use our booking workspace, website, and related services. We take your privacy seriously and want you to clearly understand your choices and rights.

Short version: We use your data to operate Allin Book, to power your booking pages, to improve the product, and to keep things secure. We don’t sell your personal data. You’re always in control of your account, your workspaces, and the data you share with us.

1. Who we are

Allin Book (“Allin Book”, “we”, “us”, or “our”) provides a booking and scheduling workspace that enables individuals and teams to create booking pages, sync calendars, and manage appointments (the “Service”).

For the purposes of data protection laws, Allin Book is the “data controller” for personal information we collect directly from you via our website, app, and communication channels.

2. What this Policy covers

This Privacy Policy applies to personal information we collect when you:

  • Visit or use our website and product (including any subdomains);
  • Create an Allin Book account or log into an existing one;
  • Interact with our booking pages as a client, guest, or invitee of an Allin Book workspace owner; or
  • Communicate with us, for example via email or support channels.

This Policy does not govern how our customers choose to use or configure Allin Book with respect to their own clients or employees. If you book a meeting with someone using Allin Book, that person or organization may be the “controller” of your data in that context and may have its own privacy policy.

3. Information we collect

3.1 Information you provide to us

We collect information you provide directly to us, such as when you create an account, configure your workspace, or contact support. This may include:

  • Account details – name, email address, password (hashed), profile photo, workspace name;
  • Billing details – payment method (processed via a secure payment provider), billing address, VAT/tax details;
  • Booking configuration – services you create, availability rules, team routing, custom questions;
  • Content you submit – messages you send via contact forms, feedback, or support requests.

3.2 Information about your use of the Service

When you use Allin Book, we automatically collect some technical and usage information, for example:

  • Log data (such as IP address, browser type, device identifiers, pages viewed, and timestamps);
  • Usage data (such as features clicked, pages visited in the app, and configuration changes);
  • Device and network information (such as operating system, language, approximate location based on IP).

3.3 Information about your clients and invitees

When someone books through your Allin Book page, we process the information that person provides, such as:

  • Name, email address, and other contact details;
  • Chosen service, date, time, and related booking details;
  • Answers to any custom questions you add to your booking forms.

In most cases, you (the workspace owner) are responsible for what information you ask for and how you use it. We process this information on your behalf to deliver the booking experience.

4. How we use your information

We use personal information for the following purposes:

  • To provide and maintain the Service – including account creation, authentication, and booking workflows;
  • To operate your booking pages – generating booking links, syncing availability, sending confirmations and reminders;
  • To communicate with you – sending transactional emails about your account, service changes, or support responses;
  • To improve Allin Book – analyzing usage patterns, testing interfaces, and developing new features;
  • To secure the Service – detecting abuse, preventing fraud, and maintaining system integrity;
  • To comply with legal obligations – recordkeeping, responding to lawful requests from authorities, and similar.

6. Cookies & tracking technologies

We use cookies and similar technologies to:

  • Keep you logged into your account and remember your preferences;
  • Measure how visitors use our website and product (for example, which pages are most popular);
  • Help protect the Service against fraudulent activity or misuse.

  • Workspace owners & team members – when you book a meeting with a workspace using Allin Book, your booking details are shared with that workspace’s authorized users to manage the appointment.
  • Legal or security reasons – if required by law, regulation, legal process, or to protect the rights, property, or safety of Allin Book, our users, or others.
  • Business transfers – if Allin Book is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction, subject to continued protection consistent with this Policy.

9. International data transfers

Allin Book may process and store information in countries other than the one you live in. These countries may have different data protection laws.

Where we transfer personal data from the EEA or UK to countries that have not been deemed to provide an adequate level of data protection, we use appropriate safeguards (such as standard contractual clauses or equivalent mechanisms) to protect your information.

Allin Book is not directed to children under the age of 16, and we do not knowingly collect personal information from children under that age. If we become aware that a child has provided us with personal information, we will take steps to delete that information.

14. Changes to this Policy

We may update this Privacy Policy from time to time to reflect changes in our Service, our data practices, or applicable laws. When we make changes, we will update the “Last updated” date at the top of this page.

In some cases, we may provide additional notice (for example, by email or within the app) if the changes are material. Continued use of Allin Book after the updated Policy becomes effective constitutes your acceptance of the changes.
